About the Role

We require a temporary Office Administrator to fill a maternity leave position. Reporting directly to the CEO, you will manage the overall office administration, accounts receivable and payable, payroll and benefit administration, plus various other tasks to assist the overall operation of the business.

Responsibilities Include

  • Track client service subscription expiries and renewals, send order forms and notices, follow up with clients on renewals (via MS Word, Excel, PDF forms, email)
  • Generate, process, and send invoices (via QuickBooks Online)
  • Handle accounts receivable and payable (via QuickBooks Online, MS Excel)
  • Reconcile credit card and bank statements and other bookkeeping (QuickBooks)
  • Create & manage digital documents and forms (via MS Office 365)
  • Manage office supplies inventory
  • Schedule meetings and book facilities (via MS Office / Outlook)
  • Sort, file, send and retrieve documents (both paper and digital) and mail
  • Answer phone calls, directing calls, processing voicemails, etc.
  • Manage digital VOIP phone administration
  • Arrange, book, and manage travel
  • Plan and manage company events
  • Payroll system entries and reports generation (via Dayforce / PowerPay)
  • Employee benefits administration (via AB Blue Cross)
  • Other duties as required

Requirements

  • An Office Administration diploma or equivalent
  • At least 3 years of Office Administration experience
  • Expert skill level in QuickBooks Online, Excel, Word, Outlook, Sharepoint/OneDrive, Acrobat Pro
  • Experience with Dayforce Paypower payroll system or similar
  • Good knowledge of employee health benefits admin
  • Excellent organizational, communication (verbal and written) and time management skills
  • Exceptional internal and external client service skills
  • Experience working in a B2B Software (or similar CRM), Aviation, or Professional Training environment would be an asset
  • Experience and Expertise in Marketing Communications could also be a valued asset and could lead to permanent job opportunity.
